Pathfinder is seeking highly motivated and self-driven staff to join a dynamic team to support integrated HIV/AIDS and RH/FP projects supported by CDC and private foundations based in Dar es Salaam.

Main Job Tasks and Responsibilities

Reports to: Human Resources and Administration Manager Location, Country: Dar es Salaam (1).
Main Job Tasks and Responsibilities
- assign and monitor clerical, administrative and secretarial responsibilities and tasks among office staff
- allocation of resources to enable task performance
- coordinate office staff activities to ensure maximum efficiency
- design and implement Office filing systems
- ensure filing systems are maintained and current
- establish procedures for record keeping
- monitor record keeping
- ensure security and confidentiality of data
- ensure office policies and procedures are being adhered to
- analyse and monitor internal processes
- implement procedural and policy changes to improve operational efficiency
- prepare operational reports and schedules to ensure efficiency
- monitor and maintain office supplies inventory
- maintain a safe and secure working environment
- responsible for driver daily timetable and their performance at general
- keep an up-to-date calendar of events to avoid conflicts. This is important so various functions and events are announced well in advance.
- Maintain a current list of key holders and provide keys to personnel as needed. Collect keys when people leave.
- responsible for designated for petty cash to be used for office supplies, postage, etc. To reimburse at end of the month, complete voucher and attach all receipts.
- be sure office equipment is operational and clean. Call for service as needed.
- responsible to make sure that all office bills are paid on time. Balance account when statement arrives.
- a business degree or equivalent
- a high school diploma with a number of years administrative and supervisory experience
- knowledge of accounting, data and administrative management practices and procedures
- knowledge of clerical practices and procedures
- At least two years working experience on the same field.
- knowledge of business and management principles
- computer skills and knowledge of office software package
